How to Use This Template

  1. 1.**Step 1: Customize Your Context & Objectives.** Start by filling in your organization name, team members, and current state metrics in the Executive Summary and Objectives sections. Be specific about what you're trying to achieve—whether it's increasing content velocity, reducing costs, improving quality, or enabling personalization. This section sets the tone for leadership and should clearly articulate why AI content operations matter to your business. Spend time on this; it's what executives will remember.
  2. 2.**Step 2: Audit & Document Your Current AI Tools.** List every AI tool your team currently uses or plans to use in the AI Tools & Technology Stack section. Include actual costs, primary use cases, and integration points with your existing martech stack. If you don't have tools selected yet, use this section to justify your selections to leadership. Be honest about what's working and what isn't—this builds credibility. Include a realistic roadmap for tool additions over the next 12 months.
  3. 3.**Step 3: Map Your Actual Workflows & Processes.** Don't create idealized workflows; document what your team actually does. For each content type you produce (blog posts, case studies, emails, etc.), walk through the exact steps from ideation to promotion, noting where AI is used and where humans make decisions. Include realistic timelines and team sizes. This section proves you've thought through implementation details and aren't just theorizing about AI.
  4. 4.**Step 4: Establish Non-Negotiable Quality & Governance Standards.** Define what "good" looks like for your content and how you'll maintain quality at scale. Create a quality framework table that specifies standards for accuracy, brand voice, SEO, originality, and compliance. Document your AI usage guidelines—what's approved and what's prohibited. Include your disclosure policy if you're required to tell audiences that AI was involved. This section protects your brand and shows leadership you're managing risk responsibly.
  5. 5.**Step 5: Build Your Budget & ROI Case.** Fill in the AI Content Operations Budget table with realistic costs for tools, training, and staffing. Calculate your ROI projection based on concrete assumptions about output increases, cost savings, or revenue impact. If you're saving 2 FTEs worth of work, quantify that. If content generates attributed revenue, include that math. This section is what gets approved or rejected, so make it defensible with clear assumptions and conservative estimates.
